Executive Assistant - Margaret Street

Job Description:

Provide high level support to the Executive Director (Investment), the Business Development team and where required other members of the investment team. This role reports to CEO’s EA, working alongside a team of other assistants.

Key Responsibilities:

High level support to Executive Director:

  • Extensive diary management; including be able to juggle constantly changing agenda’s and back to back meetings
  • Wider coordination of local and international meetings, conference calls, organising and liaising with clients/investors (meetings, lunches, road trips, away days etc)
  • Extensive domestic and International travel coordination, including flights, accommodation and cars using an online booking tool (Concur) and creating itineries
  • Invoice and expense processing
  • Ad-hoc administrative duties, as required

Team Support:

  • Team diary management including meeting scheduling and room booking
  • Travel co-ordination including investor roadshows, investor trips etc.
  • Data management using our CRM system – input, monitor and update for teams
  • Expense processing
  • Report and PowerPoint presentation preparation
  • Ability to create and re format documents in Microsoft office e.g. letter preparation, mail merge


  • Comprehensive holiday cover for the other team assistants and where required EAs
  • Ad-hoc project management
  • Ability to minute-take, usually of a confidential nature where required 

Candidate Profile:

  • Bachelor Degree and/or relevant experience
  • Excellent communication (written and verbal) skills
  • Self-starter with an ability to juggle priorities in a timely manner and use initiative under pressure
  • High standard of professionalism, integrity and development
  • Ability to work as part of a team as well as autonomously
  • Confidence and diplomacy
  • Someone who is diligent, professional and conscientious always
  • 4+ years in a support role
  • Advanced knowledge of Microsoft Office applications, notably Outlook, Word, PowerPoint and Excel
  • Working knowledge of day-to-day IT equipment (including PC desktop set up, AC & VC set up)
  • Experience in property highly preferable due to the nature of the role within the Investment team
