Team Administrator - Southampton

Job Description:

To provide an efficient and proactive admin and sales support to the Southampton Residential Development Sales teams.

Key Responsibilities:

  • Diary management – travel arrangements
  • Client invoicing, processing purchase invoicing and handling accounts queries, management of disbursements and write offs
  • Office duties; reception cover
  • Maintaining Reapit database; adding and updating applicants, producing property lists, HTML’s, updating and adding new developments to the website and portals
  • Keeping the billings sheet up to date and complete monthly fee reports to reconcile income
  • Tally marketing and staffing costs per site
  • Maintaining up to date market research as required by the team
  • Assisting with creative copies for brochures, adverts, HTMLs, press releases and websites.
  • Market administration including direct mail, booking adverts and proof reading
  • Booking advertising in National and Local publications
  • Audio and copy typing, i.e. marketing reports, general correspondence, brochure details etc.
  • Checking local press for cuttings of our developments
  • Open new job files and maintain accurate documentation on file throughout the job including archiving as appropriate
  • Compliance; ensuring all files are compliant with signed terms of business etc
  • Answering the telephone in a professional manner and redirecting or taking a message efficiently and accurately, sending out property details
  • General office administration including filing, updating price lists, binding, post, photocopying, brochure mail outs
  • Preparing agendas and minutes for meetings when required.
  • Regular updating of Dynamics for Director and AD + adding lists for client events etc
  • Ad Hoc help to on site staff
  • Deal with property enquiries and distribute sales particulars
  • Prepare and send sales letters making sure we have all the appropriate paperwork and documents in line with the latest AML regulations

  • Excellent administration and time management skills
  • Excellent IT skills – Microsoft Office, databases, Outlook
  • Excellent and accurate typing skills essential
