Team Secretary/PA to Head of Team

Job Description:

The successful Team Secretary will lead on the Guildford/ Sevenoaks team’s administrative support and act as the Personal Assistant to the Head of Team.

The team comprises 10 fee earners (including a Director and Associate Director) based in both the Guildford and Sevenoaks offices, which provides planning consultancy across Surrey, Kent and Sussex. It is a busy, fast paced department that is a market leader in its field.

With extensive contact with clients and colleagues within the Savills network, the successful candidate will be a good team player, with strong organisational and communication skills with the ability to work under pressure, prioritise work and multi task.

They will have previous team administrative/secretarial experience and be able to work in a very busy environment. The candidate will need to show initiative, be self motivated, efficient, reliable and enjoy working in a busy interactive team environment.

Key Responsibilities:

  • Provide full administrative support to all members of the team with focus on the key Director and Associate Directors (Planning)
  • Raising invoices, credit notes, managing disbursements via Microsoft Dynamics and processing supplier invoices
  • Coordinating the Team’s financial auditing (with the support of the Finance Department in the Oxford office)
  • Complex diary management
  • Organising client and team events
  • Travel arrangements
  • Handling telephone calls, taking messages and covering phones
  • Updating and maintaining Outlook/Microsoft Dynamics contacts
  • Management and maintenance of project electronic files
  • Updating and/or formatting schedules, spreadsheets, presentations, marketing collateral, reports, pitches  and correspondence
  • The completion of expense claims on behalf of fee earners
  • Opening, closing and assisting with compliance checks
  • Filing and archiving
  • Printing and binding
  • Occasional audio typing
  • Minute taking
  • Maintain a high level of professionalism when dealing with clients, applicants and colleagues
  • Excellent knowledge of Word/Excel/PowerPoint/Outlook/Adobe is essential
  • Provide assistance to wider office and Planning Division members when required including attendance as required at UK Planning administration and other relevant Planning Division events.
  • Develop and maintain active communication both within your team, the administration team and other teams as required.

Candidate Profile:

  • Comprehensive knowledge of Microsoft Office, including Word, PowerPoint and Excel. 
  • Fast and accurate typing.
  • Excellent communicator and telephone manner.
  • Excellent time management skills and attention to detail.
  • Good team player but also able to work on their own and use their own initiative.
  • Excellent organisational skills.
  • Ability to work under pressure, prioritise and multi task
  • Candidates will be required to complete an online skills test
