Lettings Customer Relationship Co-ordinator - Wilmslow

Job Description:

An exciting opportunity to join the new Wilmslow Lettings Team, supporting the Head of Department in a unique and varied job. This role will cover a number of areas, encompassing office management/administration, front of office customer liaison, property management and lettings negotiations.

Joining at the start of this new project, this role requires someone with excellent organisational skills able to self motivate and multi task and work to varying deadlines. Vision and ambition are important as the successful candidate also expected to work with the head of department to develop strategies to grow and develop the department.

Key Responsibilities:

Coordinator:

  • Deal with all incoming calls as appropriate
  • Applicant care in line with company procedures
  • Ensure lettings compliance as per company procedure
  • Registering applicants on the phone and walk ins, organising viewings
  • Registering Landlords and Properties to the system
  • Booking and preparing material for Market Appraisals
  • Prepare new Properties for marketing, including Photography and Brochure 
  • Meet and greet all people entering the office as appropriate

Admin:

  • Liaise with the deal progression team to ensure all file work ready before move in
  • Maintain stock of stationery, and marketing/appraisal material
  • Post - sorting and franking where appropriate
  • Maximise cross selling
  • Manage the TO LET and LET BY boards for available properties
  • Key Manager - logging keys in and out and adding new keys 
  • Dead Filing

Advertising and Marketing:

  • Advertising and Marketing – Liaising with Marketing rep and sales
  • PR – Liaising with PR rep regarding story opportunities
  • Monitoring and reporting on Market Share
  • Marketing – arrange adverts, mail drops, flyers and suchlike in conjunction with the Lettings Manager
  • Website – monitor and maintain presence on websites

Other responsibilities:

  • Checking and preparing properties for new tenancies
  • Meeting new tenants at the start of the tenancy
  • Ensuring all new tenancies get off to the best start 
  • Preparing welcome packs and management information forms
  • Carrying out mid term reports & property visits
  • Managing end of tenancy matters to include liaising with HOD and conducting a termination visit
  • Checking completed works as required
  • Reporting to landlord and tenant

Lettings Consultant:

  • Speak to clients to assess their property needs, and suitably match them to appropriate property
  • Arrange and conduct viewings
  • Take and negotiate offers
  • Once agreed, prepare initial paperwork and liaise with progression team
  • Liaise with parties through the offer process and ensure smooth move in
  • Lettings experience essential, and ideally have achieved the NFOPP Technical Award 
  • Outstanding organisational skills
  • Excellent IT skills, including Excel, Power Point, Word, etc
  • Have a flexible approach to work
  • Have an ability to multi-task
  • Be adaptable and a good team player
  • To have a strong service “ethic”
  • Excellent written and communication skills
  • Ability to work effectively in a busy environment as part of a team
  • Meticulous attention to detail
  • Happy to take the initiative
  • Confident in dealing with clients
  • Excellent telephone manner
  • Own car & full clean UK driving licence required
